Timely Defrags

First of all, if you're not sure what defragmentation means, please read here before you continue on with this tip. Then once you have the basics down, please read on! Alright, so it seems like I've had a lot of people ask me lately how often they should defrag their computer. That's a legit question and since so many of you want to know, I'm not going to waste any more time before I tell you. This is some very important information, so please keep reading if you care about your computer even in the least bit. Here we go!

Basically, how often you should defrag your computer depends on what you use your PC for. If you only use it for a few simple tasks, you probably won't need to run the defrag as often. On the other hand, if you use your computer for some major duties, you'll need to run it more. For example, maybe you only use your computer to send and receive e-mails, play a few games here and there, create a few Word documents or to just simply surf the Web. If that's the case, you can probably get by with defragging once a month or so. But, if you use your computer to play games all day long, download all kinds of music, videos and movies or if you create high-end graphics, you should defrag at least once a week.

Again, it all just depends on what you do with your PC. If you run it really hard most of the time, there will be a lot more data stored in your system that will need to be defragged. That way, everything will be neatly organized and ready for your next endeavor. All in all, the more you defrag, the longer your hard drive will function in top speed for you. Otherwise, it could run ragged and really start to bog you down too. One last thing: Just in case you're not sure how to get to the defrag window, go to Start, All Programs, Accessories, System Tools, Disk Defragmenter. Now you have no excuses left for not running your defrag. Get it done!

Computers 101

Q:
Sometimes when my computer finishes a defrag, there are still some files left that didn't go through the process. It says they're still fragmented. How can I get them to defrag properly or is this something that can be left alone?

A:
Great question! It's the defragment versus the fragment and I know just what to tell you! Now, I know all of you are good listeners and you've taken our advice to perform a defrag on your computer regularly, right? (Well, if you haven't, you should do so soon!)

So, after your defrag finishes, do you sometimes have a few files left over that refuse to defrag? If you do, don't worry too much about it. This is normal for most computers. Basically, the defrag process focuses on putting all the parts of a file next to each other on your hard drive, but in reality, not all files need to be placed that way. Of course, when the files are compacted together, it creates less work for your hard drive, but that's not at all completely necessary.

Along with that, there are some other reasons why all your files may not defrag. First of all, your computer needs at least 20 percent of available space to be able to even start a defrag. If you don't have enough open space for a particular file, it probably won't change.

The next scenario may be that the file is being used by some other program you may still have open. It's suggested that you close down all running programs when you perform a defrag, so make sure you do that next time. Now, there is a way to check this when your defrag is complete though. Check them by looking through the list of all the non-defragged files and see if you do happen to have a program running that may be using them. If so, you can shut that program down and start the defrag process again. The file should then go through successfully for you.

Now, still going along with that, the problem may lie in your operating system. An operating system usually has several files open in order to do its normal work. This too can cause a failed defragged file. To try and avoid this, boot up your computer using your boot disk instead of doing it the regular way. Running it from the CD and not your hard drive may help the defrag to run properly.

Well, there are some suggestions for you in case you're really worried about certain files not defragmenting. If you think those files are severely fragmented, you should go ahead and try those options, but if they're not, you don't really need to worry about it. As I said before, some files will still run perfectly fine in their fragmented mode. Yes, your hard drive will work a little harder to find all the parts of it each time you want to use that particular file, but that's part of its job. It's not going to hurt it, especially if you have the majority of your files defragged and ready to go.

If you get a testing of at least a 95 percent defrag performance, your computer will be good to go. If you want, feel free to jump through the loops of fixing those few files, but sometimes, it's just not worth the trouble. If you run a defrag regularly, your computer will be at its best optimum performance and all will be well. It's your choice!

Faster Scrolling in Word

Do you have an MS Word document that's completely full of graphics? Hate the extra time it takes to scroll through a document like that? Would you like Word to work a little faster with the document for you?

If you've answered, "Yes, yes and yes," here's a quick trick to help with the slowdown that all the extra pictures tend to cause.

Word has the ability to use something called a Picture Placeholder in your documents, displaying only an empty box where the picture belongs. When you use the Print Preview feature, you'll see the pictures. When you print your document, you'll see the pictures. But, when you edit your document, you'll only see an empty frame where your picture will be.

By doing that, your system doesn't have to use the memory and time to load up the pictures. It's only working with an empty frame, so the scrolling speed during your editing will increase, saving you time and frustration!

Ready to learn the "how to" of this? I thought you might be, so let's get to it!

In older versions of MS Word, Picture Placeholders can be found on the Tools menu, Options choice, View tab.

In Word 2007, you'll need to use the Office Button to get to the Word Options button.

Once you're in the Options dialogue window, you need to go to Advanced options and scroll down to the Show document content section.

In any version, you need to locate and check the option for Picture Placeholders and then click OK.

That's it. You should find that you're now able to zoom, zoom, zoom when you scroll!

Oh, and here's another reason I really wanted one of these... on my work computer I only have one disk drive so anytime I need to burn data from one CD or DVD to another, I have to transfer the data to my hard drive first and then burn it to my disk (a slow process). Now, I can burn right from one drive to another, no need to burn to the hard drive first - yeah! Lost E-mail Addresses

Another reader asks: I lost some of the e-mail addresses for my friends and family. How can I find them again?

Unfortunately, we have all lost an e-mail address at some point or another. Isn't it just the pits?! I know it has happened to me several times and I just go crazy over finding it again. So, if your e-mail address book somehow got deleted or if you just flat out lost your list of contacts, what can you do? Do you just stop e-mailing those people forever? No, don't do that! Try the following tips before you ever go that far.

One of the best ways to go about recovering e-mail addresses is to just ask. You can ask the actual person or if you feel bad for losing their address, ask around to other friends and family members to see if they know the e-mail address you're looking for. Or, if you misplaced a co-worker's address, ask the other people you work with. Someone is bound to know and they can just forward the information to you.

If you can't really use that method, start looking through your saved e-mails. Chances are, you saved an e-mail from the person whose address you lost and you can just find the old e-mail and copy it down. Also, try looking through your sent e-mails. Most e-mail programs save sent e-mails for quite awhile and you may be able to locate the missing address from one of those. See, there are ways around these things!

Also, if the person has their own personal Web site or if they run a blog (or something similar), they may have their e-mail address listed there. You can just go there and copy down the address. It doesn't hurt to at least try!

Now, if you're looking for an e-mail address of an old classmate or someone who never even gave you their address, you may want to try a classmates Web site and search by their name. You may have better results that way. You can also try searching by their real name on a "people search" Web site. Sometimes people include their e-mail addresses along with the rest of their contact information. If you're lucky, you might be able to find it that way.

I've got one more for you! Did you know that you can add e-mail addresses to your favorites in a Web browser? Well, you can. Read here to learn how. That is just one more easy way to keep track of all the e-mail addresses you have.

Firewall Warnings

A reader asks: The other day, I received a port scan attack notice from my personal firewall. How do I prevent them from coming in at all? Any advice would be very helpful. Thank you!

This is a very good question! I'm sure many of you out there have received a warning like that from your firewall software at one time or another. Those warnings usually say that someone is attempting an attack on your computer. It will then give you the IP address of the attacker and also what kind of an attack it is.

Believe it or not, that is a good thing! Think of it this way: if you didn't have your firewall software, you wouldn't even know the attack was happening. Someone could be attacking your system and you would get no warning at all. Your computer would just eventually crash, due to the overwhelming data coming into your system. But, because of the firewall software, the attack was detected and blocked before any damage was done. That is the main reason why you should have a firewall on your computer.

Now, I'm sure some of you are thinking, “How do I stop these attacks from getting to my computer?” That's another great question! Unfortunately, there's really no way to stop the attacks from coming in. Usually, the attacks are completely random and they simply target your IP address.

On the other hand, there is a way to stop most of them from doing any harm. That can be done by putting up an additional line of defense between your connection and your computer. That wall is called a router. If you install a router on your connection, the router will be attacked instead of your computer. The router will then simply reject the attack and it will never get into your system.

So, the next time your firewall software warns you of an attack, you can breathe a sigh of relief, because you are protected. Doesn't that feel good? Until next time, stay safe out there, my friends!
